We currently have an exciting opportunity for an experienced Temporary Department Specialist to support our Financial Controls team in Poway, Ca. Under limited supervision, this position performs a variety of administrative support activities for Financial Controls. This role requires interfacing with multiple stakeholders at all levels of the Program Finance and Controls group both internally and at times externally. A successful team member must be adaptable and flexible to constant changing business requirements in both a technical and non-technical environment.
DUTIES AND RESPONSIBILITIES:
Gathers, collects, records, tracks, verifies, and summarizes data in SAP and information from multiple sources using Microsoft Excel.
Creates and tracks IT and Facilities Service Requests.
Updates Excel spreadsheets for Financial Controls data.
Gathers and formats formal outgoing correspondences.
Arranges logistics for large internal/external meetings.
Coordinates registration and attendance at outside webinars and seminars.
Coordinates, tracks, and reports on the progress of work assignments and/or projects.
Maintains department contact listings and intranet SharePoint site.
Processes payment requests and expense reports.
Updates a variety of electronic and/or hard copy reports and records which may be confidential and sensitive in nature for a variety of parties.
Responds to routine verbal and written requests for information from internal sources.
Accesses sensitive information necessitating the use of tact, diplomacy, discretion and judgment.
Provides a customer focused approach to requested information from other members of the department.
Serves as back-up to the department’s management assistant.
Performs other duties as assigned or required.
Typically requires a high school diploma or equivalent and four or more years’ experience in a field related to the specialized functional area or unit where assigned.
Must demonstrate considerable knowledge of assigned functional area principles, theories and concepts.
Must possess: (1) the ability to grasp new concepts quickly; (2) the ability to maintain the confidentiality of sensitive information; (3) strong organization skills and the ability to establish priorities; (4) the ability to identify issues, solve and respond to routine problems or situations that require interpretation; (5) strong analytical, interpersonal, verbal and written communication skills to accurately document, report, interpret and explain moderately complex information as well as the ability to communicate and interface effectively with all levels of personnel, including management, customers and vendors; (6) practical understanding of applicable policies and procedures as well as relevant regulations; (7) considerable knowledge of MS Office with strong working knowledge of excel.
Experience with SAP is highly desirable.
Ability to work both independently and in a team environment is essential as is the ability to work extended hours as required.
